Who we are

Polar Studio is a technical drafting, BIM and As-Built documentation practice based in Sydney, New South Wales, serving clients across Australia. This policy covers the website polarstudio.com.au.

What information we collect

The only personal information this website collects directly is what you choose to enter into the quote request form on the contact page. That form collects:

• Your full name
• Your email address
• Your company name, where you provide it
• Your phone number, where you provide it
• The service you are enquiring about
• Any target deadline you provide
• The project details you write in the message field
• The page or service you arrived from, recorded automatically so we know which enquiry relates to which service

We do not ask for, and you should not send us, payment card details, government identification numbers or any other sensitive personal information through this form.

Where your information is stored

Form submissions are received and stored by Netlify Forms, the hosting platform this website runs on. Submissions are then copied into a private Google Sheet used to track enquiries, and a notification email is sent to our team inbox. Access to both the Netlify account and the Google Sheet is restricted to Polar Studio staff.

How we use it

We use the information you submit solely to respond to your enquiry, prepare a quote and, where you become a client, deliver the work. We do not sell your information, and we do not use it for marketing lists or newsletters unless you separately ask us to.

Analytics and cookies

This website uses Google Analytics 4 to understand how visitors find and use the site. Google Analytics sets cookies and collects aggregated usage data such as pages viewed, approximate location and device type. This data is not used to identify you personally. You can block these cookies through your browser settings or by using a browser extension that blocks analytics scripts.

How long we keep it

Enquiries that do not lead to a project are retained for up to two years so we can pick up a conversation if you come back to us. Records relating to completed projects are retained for as long as required for business and taxation purposes.

Your rights

You can ask us at any time to tell you what information we hold about you, to correct it, or to delete it. Email info@polarstudio.com.au and we will action the request. If you are not satisfied with how we have handled a privacy matter, you can raise it with the Office of the Australian Information Commissioner.

Changes to this policy

If this policy changes, the revised version will be published on this page with an updated date at the top.
